Terms of service

Last updated: 8 November 2026

About these terms

These terms apply to Whohas (whohas.eu), a service of Long Term Solutions CommV, Hof van Obbergenstraat 4, 1852 Grimbergen, Belgium, enterprise number BE 1029.403.590. By creating an account or accepting an invitation, you agree to them.

If you use Whohas for a company or another organization, you accept these terms on its behalf and confirm that you're allowed to. Our Privacy notice explains how we handle personal data.

Your account

Teams

Items, labels and lending records belong to a team. Each team has one owner; the other members are admins. Admins can add and manage items and invite others. The owner can also remove members, hand the team over and delete it.

When a team is deleted, all its data is deleted for good after 14 days, for every member.

Plans and prices

The free plan includes up to 25 items per team, and each person can own one free team. It stays free for as long as we offer it. We may change its limits, but we'll tell you at least 30 days in advance.

Pro costs €14.99 per team per month, or €149.99 per year. It includes up to 500 items, the full lending history and due dates with reminder emails. Prices include VAT where it applies: businesses elsewhere in the EU with a valid VAT number pay the same amount without VAT (reverse charge). Pro is sold to customers in the EU.

We may change the price of Pro for the future. We'll email the team owner at least 30 days before a new price applies to their next renewal, so they can cancel first.

Fair use

You may not use Whohas to:

Your data

Everything you add to Whohas remains yours. You allow us to store and process it only to provide Whohas to you and your team.

You can download your team's data at any time in the team settings.

Personal data you record (data processing agreement)

When your organization uses Whohas, it decides which personal data of team members and borrowers it records. For that data, your organization is the controller and we are the processor. This section is the data processing agreement required by article 28 of the GDPR. We:

Your organization is responsible for having a legal basis for the data it records and for informing the people concerned.

Availability and changes

We do our best to keep Whohas running smoothly, but we can't promise that it will always be available or free of errors. Sometimes we need maintenance, which we plan outside office hours where possible.

We keep improving Whohas and may change or remove features. If a change significantly reduces what you can do, we'll tell you in advance.

Liability

Whohas helps you keep track of items, but it can't guarantee that they are returned. We're not responsible for lost, damaged or unreturned items.

As far as the law allows, we're not liable for indirect damage, such as lost profit or lost data. Our total liability is limited to what you paid us in the 12 months before the damage, or €100 if that is more.

These limits don't apply to damage caused intentionally or through gross negligence, or where the law doesn't allow them. If you're a consumer, you keep all the rights the law gives you.

Ending

You can stop at any time by deleting your team or account in the settings.

We may suspend or close an account that seriously or repeatedly breaks these terms. Where reasonable, we'll warn you first and give you time to download your data.

If we ever stop offering Whohas, we'll tell you at least 60 days in advance.

Changes to these terms

We may update these terms. For changes that affect you, we'll email account holders at least 30 days before they apply. If you don't agree, you can delete your account before then.

Law and disputes

Belgian law applies. If you disagree with us about something, please email hello@whohas.eu first, so we can try to solve it together. If that doesn't work, the courts of Brussels have jurisdiction, unless the law gives you as a consumer the right to go to the courts where you live.
